Buildings and Grounds Meeting April 28, 2008

Present: Fr. Mark, Mike Sisler, Ken Zeckzer, Tim Tranel, Jim Connolly, Tom Freund and Nancy, Leo Kringle, Paul Duster.

The January minutes were approved

Old Business: Children's Center playground equipment update.
Fr. Mark and Nancy meet with Joann O'Connell and Tammy Pierro about the daycare use of the playground and new equipment. Joann and Tammy are meeting with different vendors about the green space area behind the school and the size and cost of playground equipment that best fits the space. Snow storage during the winter, fencing and incorporating the existing drain will be part of the plans. Unfortunately, due to the cost and money available the plans have had to be downsized. Joann and Tammy will provide the further information, before staring on this project.

Cafeteria Water Issues: Jim and Tim will work with Stetson about fixing the cracks between the wall and the pipe on the North wall. Tim will research a product called beninite. Jim will contact Holy Family about replacement tiles.

Tom will contact Mike Hoffmann from River City Paving, Dan Apel and Tom Hamel about bidding the upper parking lot and resurfacing the parking lot between the church and school buildings.

Tim will contact Mike Kelly (Republic), Dubuque Plumbing and Heating and Janco about quotes for the new church boilers. This will include a new gas line, removal of the existing pipes, hookups and a separate meter.

New Business:
It was agreed to postpone painting and cleaning of the stone and frames on the inside church windows.

Spring Cleanup day has been set for May 10 at 8:00AM. Nancy will contact Steve Rodham about providing colored mulch for around the school, church, rectory and parish offices. Mulch will be unloaded in three spots: by the garden, at the entrance to school and by the rectory driveway. Nancy will contact Sara Eisbach about putting this announcement on the Worker board, as well as Rick Merfeld about scouts helping with this project.

The railing outside the parish office was written up in the insurance inspection for need of repair. This will need to be bid out, John Perry will be contacted about the concrete and Dave Hinz about the cost of a new railing.

Leo mentioned that the Knights of Columbus will repair the church back steps. Tim will work with him to putting the final details on how and which area needs to be repaired.

Paul will contact Mark Schnee about grinding down the sidewalk on Theisen Street. There is breakage of the sidewalk by the front door to the daycare. Jim will need to paint these areas yellow.

Buildings and Grounds Meeting January 21, 2008

Guest: Dave Tschiggfrie - Adult Faith Committee Representative.

Dave opened the meeting with prayer. He presented everyone with a handout pertaining to Adult Faith opportunities being sponsored by the Adult Faith Committee. One of the workshops is Called and Gifted-Discerning Charisms: Living the Mission. Dave explained the each of us has charismas-God given gifts. First, we must learn to understand each gift and then be willing to use them for the goods of others and our Church. During the past 18 months a group of parishioners have participated in training classes on helping discern our gifts. On Wednesday, January 30 and Saturday, February 2 they will share the tools they have learned to help each of us do an inventory checklist of our gifts.

Old Business:
Jim will purchase a 7 day time clock to automatically control the heating system in church.
The issue of maintain the upper parking lot was discussed. Tom will contact Hamel or Apel about seal coating the cracks as well as painting new lines.
The cafeteria repair will still be part of the 2007-2008 budgets. Tim will contact Lloyd McDermott about spraying sealant in the cracks.

New Business:
Work started on the 2008-2009 Buildings and Grounds budget.

Tim will contact Mike Kelly (Republic) and John Feathergill about the costs for new furnaces for the church.

Jim will get exact numbers to replace hardware for the church doors.
Zephyr will be contacted about reglazing the main entrance windows.

Nancy will contact Key City about cleaning the inside window areas of church.
Tim is going to contact Scott Wright from Platteville about repair the tunnel water leaks.

Items budgeted for the rectory is new blinds upstairs, new kitchen floor and washer and dryer.

Giese Roofing has repaired the parish office roof twice this fall. Replacing this roof will be put into the budget. Also cleaning or replacing the carpet in the parish offices will be part of the budget.

Paul called the meeting to order at 5:00PM, Paul lead the opening prayer and reflection discussion.

Jim Mauss from Cummer Masonry requested permission to use the lower parking lot for the next 10 months. Cummer Masonry is working on the new Wellness Center at the University of the Dubuque which has no off street parking. They will need about 15 spots, Monday thru Friday. They will clear the area of snow during the winter months. It is requested that Cummer Masonry will provide a certificate of insurance.

Tim and Ron Smyth from Holy Family looked at the water damaged in the daycare center cafeteria Tim agreed that there will need to be drain tile installed inside the cafeteria wall, leading to a sump pump. The parish has agreed to split the cost with Holy Family. Ron is contacting various contractors about bids for this project.

Church storm windows have been ordered by Zephyr Aluminum. Installation should start around October 8th. Key City Window Cleaning was able to clean up the water stains on the outsides of the windows. Key City has been contracted for $800 to clean all the windows right before the storms are installed.

The parish office is now the parish center with more meeting rooms for events. Jim and Mike Sisler
will work out the details for more lightning on the back side of the building. Tim mentioned that the stairs' leading to the upper parking lot needs repair another item for the 2008 budget.

The parish office roof is in need of repair. This also will need to be put into the budget next year.

The youth center has moved to the lower level of the parish center. Paul talked with the youth director about changes to the restroom. Jim will raise the sink and replace the toilet, if needed.

There was discussion concerning the key to the handicap restroom. Jim will get one and put it in the ushers' closet.

Leo received a list of contractors that are city certified to work on sidewalks. Paul will contact Mark Schnee about grinding down a test area of sidewalk.

Jim talked to Dubuque Plumbing and Heating about installation of boilers in the church. They indicated that there will be a 49% savings on gas bills. This will be an item for the 2008 - 09 budgets.
Tom is working on repairing the upper driveway. Nancy will contact Apel Paving about putting in parking stall spaces and no parking sides on areas that need two way traffic.

Tim will purchase items with the donations and Mike Sisler has received some times from his suppliers.

Tim called the meeting to order at 5:00PM, Tim lead the opening prayer and reflection discussion.

Church storm windows have been ordered by Zephyr Aluminum. Installation should start around October 1st. A color chart was provided with the light bronze color that had been selected. Key City Window Cleaning was able to clean up the water stains on the outsides of the windows. Key City has been contracted for $800 to clean all the windows right before the storms are installed.

The parish office roof is leaking. Giese Roofing has been doing spot repairs. Jim noted that the roof was installed in 1992. This will need to be put into the budget next year. Ken will take a look at the roof, to see what else could be done for the short term.

The youth center is in the process of moving to the lower level of the parish center. There will need to be one handicap restroom installed. Paul and Jim will look into replacing the stool and raising the sinks. The cost involved in the renovating the handicap restroom in parish office was $900.00

Saturday September 8th everyone is invited to help paint and prepare the former music and art rooms for religious education. Nancy will get the necessary supplies. Paul and Jim have volunteered to be there to help that Saturday morning.

Tom is working on repairing the upper driveway. Nancy will contact Apel Paving about putting in parking stall spaces and no parking sides on areas that need two way traffic.

Tim has spoken to Mark Schnee about grinding down the high spots in the sidewalks. Paul will touch base with him again to see when he could try this.

The Aquila Energy Audit suggested putting in three smaller boilers in the church basement. Tim will talk to Dubuque Plumbing and Heating about costs for this. This would have to be part of the 2008-2009 budgets.

Tim was contacted by the Holy Family Childcare Center about putting in new playground equipment. What they currently have does not met state codes for the age groups playing on it. The suggested area will be the far north corner of the playground. Holy Family will install the mulch and equipment.

The question was asked about installing an intercom system on the North entrance to the school. The largest cost to this project would be the locking system. Ron Smyth from Holy Family is working on this.

There is a water problem in the daycare cafeteria. Ron Smyth and Tim are going to be meeting sometime in the next couple of weeks to brainstorm ideas that will fix this at the least expensive cost.

Everyone gave a donation for Octoberfest baskets, Mike will see what his electrical suppliers can donate as well.

Tim called the meeting to order at 5:00 PM, Tim lead the opening prayer and reflection discussion.

The January meeting was all about the 2007-2008 budget. Everyone received a copy of the reworked budget for 2007-2008. An addition to that budget is a new lawn tractor. Jim reported that parts on the hydraulic lift could not be replaced; however, he was able to have new parts made. However, this is a short term fix. John Deere has not notified Leo about replacing the tractor, he will contact them again.

One of the items in the budget was a new used truck. Jim would like a midsize, 2 wheel drive, (4 wheel would be nice) but not necessary, around year 2000 or better. An item will be put into the bulletin to see if anyone has a good reliable truck they would donate.

Vented storm windows for the church are estimated to cost around $60,000. After budget approval in March by the finance and pastoral council, Tim will contact Dubuque Glass, Zephyr and Bovard about their products. The question will be how much of energy and cost savings will there be in addition to protecting the stain glass windows?

Fr. Mark, Sr. Marilyn, Nancy Ehrlich, and Tim had a meeting with Todd Wessels and Joann O'Connell regarding the use of St. Joseph the Worker building as the early childhood center. St. Joseph the Worker was asked to put together a list of things that the parish would like to keep by March 1st. Sr. Marilyn and the staff are working on this list. One of the items that the parish may need to purchase is tables and chairs. Every room will have an air-conditioner installed. To bring the building up to the fire code, smoke alarms will need to be installed as well as fire doors. Jim mentioned that the childcare will need an area for storage of bicycles, wagons and other toys. Nancy will contact Joann about what area they will be considering for storage.

Fr. Mark suggested that the St. Joseph the Worker campus become more environmentally friendly. What is the parish doing to create a "green campus"? Jim will put recycling bins in Martin Hall. Going forward paper plates and cups will be used for parish events. Nancy will contact Alliant about an energy audit of the school. What types of rebates are available for water heaters, faucets, windows and lights?

Highlights for the last Buildings and Grounds meeting February 6-2006

2. Contract with Conlon to remove pews, carpet and reinstall pews over a two week time frame.
3. Contract for soda blasting of church walls with Steve Allen.
4. Request of bids for chiller and condenser from Giesler, Giese, Molo and Modern Piping.
5. Request of bids for ceiling repair and painting in the nave and side entrances.

October highlights
1. Judy Selchert (Ace Hardware) will put together some landscape plans for the area around the maintenance building.
2. Jim will investigate the costs for a new chiller expansion tank. The current one is rusted and will need to be replace in the spring.
3. Work will be done on the youth handicap bathroom during the next couple of weeks.
4. Dan Smith, John Mousel and Jim Connolly trimmed the shrubbery between the school and the houses on Algona Street.
